Privacy Policy

This policy explains how Antsfield ("Antsfield", "we", "us") handles personal information when you use our websites, the Antsfield iOS app, and related services (the "Services").

It applies to people who create an account, join a workspace, visit our site, or open a public invoice or estimate page. If you are a client of a business that uses Antsfield, that business decides what to collect and why. We process that information for them so they can invoice you, schedule work, and get paid.

1. Information from your account

When you sign up or are invited, we collect:

  • your name, email address, and profile photo
  • a password hash, if you use email login
  • an identifier from Google, GitHub, or Apple, if you use those to sign in
  • workspace name, role, and the permissions an admin assigns

On the iOS app we also store a push token so we can deliver notifications you have turned on, and the usual device details needed to keep the app signed in.

2. Information your business adds

Workspaces store the records the product is built for. That can include:

  • clients and suppliers: name, company, email, phone, address, and notes
  • invoices, estimates, line items, taxes, notes, attachments, and PDFs
  • payments, deposits, refunds, and the status Stripe reports back
  • inventory, quantities, photos, costs, and stock movements
  • locations, jobs, schedule events, and who is assigned
  • expenses and receipts
  • team shift times and, when the time clock asks for it, location

The workspace owner is responsible for telling their clients and staff about this collection. We use the information to provide the workspace, not for our own advertising.

3. Location

The time clock can record a latitude, longitude, accuracy, and distance from a workplace when someone clocks in or out, if the workspace requires it and the device allows location access. Owners and admins can see that record. We do not track a device in the background for advertising, and we do not sell location.

4. People who are not account holders

If a business sends you an invoice, estimate, follow-up, or review request, we process your name, contact details, the document, and whether a message was sent or opened, so the business can run that workflow. Opening the public page or paying does not create an Antsfield account.

Card numbers are entered on Stripe's page. Antsfield does not store your full card number. Stripe tells us the payment result, amount, and a reference we use to mark the invoice paid or refunded.

A review request may include a link the business chose, such as a Google review link. If you follow it, that site's policy applies.

5. How we use information

  • to provide, secure, and support the Services
  • to send account, billing, and product messages you need
  • to send client emails and push notifications a workspace requests
  • to process subscriptions and connected client payments
  • to understand which product features are used, in aggregate
  • to investigate abuse, fraud, and disputes

We do not sell personal information. We do not use workspace data to train public AI models.

6. Who we share it with

We share information with service providers that run the product:

  • Stripe, for Antsfield subscriptions and for client card payments
  • Apple, for App Store billing, Sign in with Apple, and push delivery
  • Google and GitHub, when you choose those to sign in
  • Resend, to deliver email
  • Vercel, to host the site and to collect cookie-free usage analytics
  • PostHog (United States region), for product analytics on sign-in, sign-up, and feature usage — we send only your name and email as person properties, not workspace or client records
  • our database host and object storage, to store the workspace

Members of a workspace can see the records their role allows. We also share information if the law requires it, or to protect the Services and the people who use them.

7. Cookies and app storage

The website uses first-party cookies to keep you signed in and to remember security state. We do not use advertising cookies. Vercel Analytics and Speed Insights, which run on the production site, are designed to measure traffic without third-party advertising cookies. PostHog on the website and in the iOS app uses first-party identifiers and does not use advertising cookies.

The iOS app stores your session on the device. You can sign out, and you can turn off push notifications or location access in iOS settings.

8. How long we keep it

We keep account and workspace information while the account is open and for a short period afterward so a deletion can finish and a payment dispute can be answered. Payment records may be kept longer when tax or financial rules require it. Server logs are kept for a limited time for security.

Deleting an account from settings permanently removes that account and the workspaces, items, and locations it owns. We also request deletion of your PostHog person record on a best-effort basis after the account is removed. Export inventory and clients before you do that. A client who wants their details removed from a business's invoices should contact that business. The business can edit or delete the client record.

9. Security

We use encryption in transit, access controls inside a workspace, and locked-down production systems. No method of storage is perfectly secure. Public document links are a capability: anyone who has the link can open that document.

10. Your choices

  • update your profile and password in account settings
  • export inventory and clients from the workspace
  • leave a workspace, or delete an account you own
  • turn off nonessential notifications in the app
  • email support@antsfield.com to ask for access or correction of personal information we hold about you as an account holder

If a privacy law gives you other rights, such as deletion or a complaint to a regulator, you can use them. We will not discriminate against you for asking. We may need to confirm it is your request.

11. Children

The Services are for businesses and their staff. They are not directed at children under 16, and we do not knowingly collect their personal information.

12. International processing

We operate from the United States and use providers that may process information in the United States and other countries. Those countries may have different privacy laws than the country you live in.

13. Changes

We will post updates on this page and change the date above. If a change materially affects account holders, we will also give notice in the product or by email.

14. Contact

Privacy questions can be sent to support@antsfield.com.
